It sounds as though the parts of the software are not communicating properly. I would suggest uninstalling, and reinstalling the software for the printer. Before you do uninstall the software, please make sure that the updated software is available for download. I have included a link to the 'HP Photosmart Premium Fax All-in-One Printer - C309a Drivers'. Please select your operating system, and then click next. The software will be located under the Driver - Product Installation Software title.
If you do need further assistance after this, please let me know the version of Windows that you are running. If you need it, I have included the document 'Which Windows operating system am I running?'
Please let me know the outcome of the troubleshooting.
